Your responsibilities

What You Will Do
  • Manage phone calls by answering, forwarding, and providing accurate information.
  • Take messages and relay them via email or through tasks in our CRM system.
  • Greet visitors, customers, and employees in a professional, friendly manner, ensuring they receive the correct information or are directed appropriately.
  • Operate the entrance and exit doors for the location, ensuring security and smooth flow.
  • Oversee the receipt of mail, orders, and packages, check their quality and quantity, sign for receipt, and handle outgoing mail.
  • Manage bookings for meeting rooms and other spaces.
  • Order and manage office supplies, ensuring stock is maintained.
  • Supervise visitors, ensure the cleanliness of the reception area, and report any irregularities.
  • Identify irregular situations, take necessary actions, and follow guidelines during emergencies.
  • Provide written reports on key attention points, special circumstances, and other matters to your supervisor.
  • Perform various administrative and secretarial tasks as assigned, including supporting the back-office team with debt management, customer contact, creating quotations in DX Salesforce, and following up on leads.

  • Excellent organizational, problem solving, and multi-tasking skills.
  • Ability to stay composed under pressure, particularly during busy times or emergencies.
  • Ability to handle sensitive information with care, maintaining strict confidentiality at all times.
  • Detail-oriented with the capability to accurately check and process mail, packages, and orders.
  • Team-oriented mindset with a positive attitude and a proactive approach to tasks.
  • Basic knowledge of CRM systems and the ability to create and manage tasks efficiently.
  • Experience in handling front desk duties or similar roles is a plus.
  • Fluency in English and Dutch (written and spoken).
  • Ability to work onsite in our Bodegraven office from 8AM-5PM.
